Question Newbie Question: Project Schedule

Hi. New to the forum and project management. I look forward to learning from you all!

My first question: As I have meetings and generate tons of follow up items, how do I determine what belongs in a project schedule and what doesn't? I assume an action like, "I need to call..." doesn't go on a schedule, so is there a seperate action item list?

It sounds wrong to have a seperate list, but just as wrong to bog down a project schedule with odds and ends.

How do you manage this????

If the call has an important bearing on the project (like discovery for requirements or someting), then it goes on the schedule. That goes for anything else, actually. If an item is essential for the project to move forward, then it goes on the list, minor or not. There are a lot of tools that can help you with this.

Take our solution, Easy Projects, for example. We've got a task management feature that lets you create an unlimited number of subtasks, so you can accommodate all those action items you mentioned.

Give it a look-see and let me know what you think.

Hi,

I think yes it should go in actions if it effects to complete important tasks and project.

Action items are typically a result of discussions between various parties in a meeting. An action item can also arise from a situation such as incidents or emergency within the organization. Majority of the action items arise from meetings in that case find some Action items in MOM templates.

I personally use templates in simple excel format. You can go for templates with check boxes to better manage your schedule for example templates from Vertex 42.

Hope this helps you Suek,
Thanks!!

Hi,

Actions are ADHOC and emerge from many sources, more formally meetings. They can arise when you already have an activity schedule / programme in place. Actions can vary in terms of criticality to the project, each action should be considered in terms of whether it warrants an update / change to the activity schedule / programme. Its not sensible to add every action into a programme hence why you keep an action log, most actions arent complex and dont require ties to programme logic, nor do they warrant being loaded with resources - they can also usually be closed out quite quick. If an action affects programme logic then it would be prudent to add it in to your programme... as a task or possibly milestone if not requiring alot of work.

I've developed a few action log templates which work well on both small and large projects and help with priorisation. Here's my latest version Action Log Template.
