Create a project schedule for a project that is already underway?

Has anyone had experience with building a project schedule for a project that is already underway?

I recently joined a company that is very low on the project management maturity scale. They are working on a project that has been underway for about a year and a half, but have very little in terms of the traditional "organizational process assets" such as project schedule, communication plans, risk management plans, etc.

The company is now being asked to produce formal status reports with one of the supporting documents being a Gantt chart. I've worked with the team to create the activity list and sequencing, but they never formally tracked the tasks prior and need to show current status.

This scenario in your organization is not rare. Unfortunately, it is a common sight, sometimes even in an organization with mature PMOs.

To answer your question -Yes, scheduling can be started midway or after the project has started. What I would recommend is, even if there was no project schedule or work breakdown structure in place, look for the high level deadlines for major milestones such as requirements completion date, design, development, testing, etc. for the tasks that are completed, discuss with the teams involved, and give a duration and end date based on their approximate guess. Mark these as complete.

What you need to worry or plan is, what is in progress and what is ahead. For those tasks, engage the team, and break down the tasks to the minutest level that will need tracking. Add dates to these tasks, and track them routinely. You have your project schedule! All the best!
