Tools for Project Optimization and Better Resource Allocation

Some days IT executives earn their salaries and then some: multiple deadlines for simultaneous projects, staff with different skills, competing schedules and priorities, and multiple unforeseen variables.

The question each day is which project gets which resources to make sure all projects get completed on time and within budget.

What’s the best way to allocate resources across projects? How can you ensure you stay on budget and meet established deadlines? Read up on the latest tools designed to make your job easier in this article: How Pie Charts, Mr. Spock and the Big Picture Can Optimize Your Projects: http://www.executivebrief.com/articl...ojects-on-time.

What’s the best way to allocate resources across projects?
  • It is called Project Portfolios, multiple jobs sharing resources and a few links.
  • Most major software can handle the issue, each on its own way.
  • Look in the literature for Portfolio Management.

Project portfolio is a set of company’s projects usually united by common financing. Managing a Project portfolio allows the user to estimate investment attractiveness of projects, to define the optimal financing scheme, to balance possible contradictions between various activities of the company, the resources participating in project execution, and so on.

You mentioned resource skills, but on a given Resource Skill pool, the members have different productivities, a Rookie Software Engineer is not to produce the same as your Most Experienced. To handle this issue your software shall be capable to account for different productivities. In addition, if you use shift work it shall be capable of correctly modeling shift work, a claim some software can do but in reality cannot.

Say you have two resources and one produces 80% the other does and you work 2 daily shifts eight hours each. If the activity duration with a single resource assigment at 100% productivity will take 16 hours, can you model this when low productive resource drives the duration up?

Of course you shall be able to assign priorities so if two competing resources are available the highest priority resource is assigned (ironically might be lower productive resource but at less cost), when the highest priority resource delays the job duration then the lowest priority resource shall be selected.

Thumbs up Project Portfolio Management Software

I would recommend using a tool called @task. The project management software is amazing and can do everything you're trying to do. Along with the Portfolio Management solutions which allow you to prioritize projects, the software includes a capacity and resource allocation tool that is both easy-to-use and very effective. Project portfolio really is the best way to efficiently divided resources among several projects. Project portfolio is the only way to balance out things such as financing, and allocating resources. There many tools out there that can also help solve this dilemma such as The Project Management Software as the pervious poster mentioned.
